TERMS & CONDITIONS / PRIVACY & LEGAL

Terms & Conditions

Deposit / Confirmation of Booking

A non-refundable deposit of £100 per week is required to secure your booking. We require your deposit and confirmation of your booking in writing by e-mail (or by letter if preferred), within 7 days of making the booking. Please note that your booking is not considered firm until the deposit payment has been received.

Payment methods

Payments should be made by Cheque, Internet Bill Payment or BACS. An on-line card facility is not currently available. Cheques should be made payable to “Ben Galloway” and sent to: N16 The Quadrangle, Hall Park Road, Hunmanby, Filey, North Yorkshire YO14 0HZ. If paying by any method other than by cheque, please request our bank details when making the booking.

Balance Payment / Keys

We ask that the balance due is paid no less than one month before the start of your holiday. On receipt of your payment, the code for the key safe at the property, will be sent to you some ten days before the start of your holiday.

Cancellation

In the event of cancellation more than four weeks before the start of your stay your deposit will not be refunded unless the accommodation is re-let for the same period. Should cancellation take place less than four weeks before the start of the holiday the rental is payable in full. It is recommended that you consider taking out suitable holiday insurance. Should, for reasons beyond our control, the property be rendered unsuitable for letting on the dates booked, all money paid will be returned in full without further claim.

Dogs

Well-behaved dogs are permitted at Fox Cottage by prior arrangement. The small back garden is enclosed. I would be most grateful if you would clean up after your dog in the garden and in the village and not allow them on unprotected furniture. Dog waste should be bagged before putting it in the green garden bin. Our only stipulation is that dogs are not allowed upstairs in the cottage.

Suitability

Unfortunately the cottage is not suitable for children under the age of seven on safety grounds. This is is because there is no door at the top of the second flight of stairs to the second foor bedroom. The cottage is also not suitable for the infirm. Please be aware that in the paved garden there is a small drop between the upper and lower levels to the left of the steps.

Privacy & Legal

These terms govern your use of the Fox Cottage website. By using the website you are indicating your acceptance of these terms. We may change the terms at any time by posting amended terms on the website. If you do not accept these terms and conditions please do not use this website.

IMPORTANT: The General Data Protection Regulation (GDPR) will apply in the UK from 25 May 2018. It replaces the 1998 Data Protection Act and introduces new rules on privacy notices, as well as processing and safeguarding personal data. We have amended our Privacy Policy accordingly:

This policy is effective from and last updated on: 19.05.2018

GDPR PRIVACY POLICY

This privacy policy sets out how we use and protect any information that you provide us with when you use this website. We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified when using this website, then you can be assured that it will only be used in accordance with this privacy statement. We may change this policy from time to time by updating this page. You should check this page periodically to ensure that you are happy with any changes.

What we collect
The only information we ask you for is your ‘contact information’, specifically, though not limited to, your name, address, telephone number and your email address, and only then if you have chosen to book a holiday at Fox Cottage. This is an ‘opt-in’ system. We do not collect the data of individuals or companies who visit this website.

How long do we keep your data for?
We keep your data, (in compliance with GDPR guidelines) for a ‘limited’ and ‘reasonable’ amount of time. Currently we store data for up to 18 months from the end of your holiday booking after which time it will be deleted. We keep this data for this period of time mainly because some guests like to re-book the same time each year, and it’s helpful to be able to populate their details without having to ask them to resupply their contact information each time. The only potential exception to this policy in the future would be if you specifically requested to be kept informed by us. Typically companies do this in the form of a newsletter or via offers and promotions. The mechanism for this would be via an ‘opt-in’ a form, and our data protection policy would be updated accordingly. The website does not presently offer this.

What we do with the information we gather
We require this information only to be able to manage your booking and to respond to you via email or telephone if necessary in connection with your booking and/or during your holiday should that be necessary.

We do not use this information to:
Send promotional emails about new products or contact you with offers or other information that you have not requested;
Contact you for market research purposes;
Contact you by unsolicited email, phone, fax or mail – we will only respond to a phone call email or fax that you have made/sent us.
